TEAMS Express Sales Tax Workflow

The TEAMS Express workflow engine is the difference between achieving high levels of sales and use tax compliance with happy customers and suppliers or annoyed and overburdened customers coupled with low compliance and plenty of tedious follow-up.

The Workflow Difference

  1. A Letter requesting an updated certificate is generated within TEAMS Express and delivered to your customers.  This letter may be fully tailored with whatever verbiage you desire and subsequently delivered, at your option, via fax, email or postal mail.  A single letter is generated detailing all of the certificates requiring attention to a particular entity.  Each request is tagged to a specific customer record within TEAMS Express and an unique tracking ID number is generated along with the letter.
  2. Your customer receives your letter requesting the updated certificate.  The letter contains a web link and a dedicated toll-free fax back reply number and the unique tracking number.  The web link is unique to your TEAMS Express instance and no other.
  3. Using the link and tracking number, your customer logs into your TEAMS Express website and gains access to their relevant information and the certificates requiring an update.  They can only access their specific information and the certificates specifically requested for update after they are authenticated with their tracking number.  They cannot query the system or look at anything else contained therein.
  4. Your customer is presented with pre-populated forms based on the customer information you have on record in TEAMS Express as derived from your ERP/financial systems with no need to retype stored information.  The forms are supplied from your Forms Library.   Your customer can update relevant certificate information and then open the pre-populated form ready for printing and signature.  The forms they sign contain the tracking number and a related bar code for easy identification and cataloging upon receipt.  At this point, they can print it, sign it, and return it via fax, email or regular postal mail.
  5. Upon receipt, the signed certificate is immediately indexed and inserted into TEAMS Express using the bar coding and tracking number for quick cataloging.  The certificate is still subject to a final sufficiency review based on your submission criteria.
